Managing DeepVo.ai's Meeting Attendance: Configuration Options

If you prefer DeepVo.ai not to join every single one of your meetings, several settings allow you to control its participation. You can tailor its behavior to ensure it only joins when you need its powerful features, like high-accuracy voice-to-text transcription or insightful AI summaries.
Fine-tune Your Participation Settings
You can manage when DeepVo.ai will join your scheduled meetings by navigating to Account Settings → Meeting Assistant → Participation Settings:
If you have the "Automatically join meetings" option activated, you'll need to specify your preferences further:
- Under "Meeting Role," you can configure DeepVo.ai to attend all your meetings, or alternatively, only those meetings where you are the designated host. This ensures you get detailed transcripts and summaries for sessions you lead.
- Additionally, under "Meeting Type," you can instruct DeepVo.ai to join both internal and external meetings, or to limit its participation to internal meetings exclusively. Internal meetings are characterized by all invited participants having email addresses under the same domain name. This option is accessible only if your primary email address registered with DeepVo.ai is associated with a private email domain (e.g., a corporate email address, not a public service like gmail.com or similar).
If you have "Automatically join meetings" deactivated, then DeepVo.ai will be set to 'off' by default for all your meetings. This means it won't join unless you specifically request it, for instance, when you need a smart mind map to visualize discussion points.
Regardless of the participation preferences you establish here, you always have the flexibility to manually enable or disable DeepVo.ai for specific meetings and recurring series directly from your Calendar page (see instructions below).
Enable or Disable DeepVo.ai for Specific Meetings
If you wish to activate or deactivate DeepVo.ai for selected meetings on your calendar, follow these simple steps:
- Navigate to your Calendar page (you'll find a link in the left-hand navigation panel):
- Toggle the "Include DeepVo.ai?" setting to either on or off, based on your preference:
- If the meeting is part of a recurring series, you will be prompted to choose whether this change applies to all future instances of the meeting or only to this particular one:
Please be aware that even if you switch "Include DeepVo.ai?" to off, other participants in the meeting might still be using DeepVo.ai and have it activated from their own accounts (you can usually check the meeting chat or participant list to see who invited DeepVo.ai).
